5 Work Week Standard (M-F equal number of hours per day) Work Location Medical School Campus Worksite Address 300 George Street New Haven, CT 06511 Work Model On-site Position Focus: Reporting to the co-Directors of Graduate Studies (DGS) for the Computational Biology & Bioinformatics (CBB) graduate program, the CBB Program Registrar provides high-level administrative and data-driven support, independently serving as the lead contact and subject matter expert regarding academic, administrative, admissions and registration, career, financial aid, and procedural matters for current and prospective CBB graduate students and track faculty.
The Computational Biology & Bioinformatics Registrar coordinates the admissions and recruitment functions of the Computational Biology & Biomedical Informatics track which requires the organization and support of the admissions process and extensive event and meeting planning for student recruitment activities.
As the primary coordinator for the PhD program, this role tracks the progress of >60 graduate students toward their degrees, ensuring that critical deadlines and submissions are met.
This data-driven position maintains confidential student files using multiples tools (shared drive; cbb.

edu email account, Yale Box), develops/maintains detailed academic and financial matrices using Excel, and tracks student and course data using several centralized systems (e.
g.
AppX, Canvas, CourseLeaf, DPR, GFS, FSA, NOR, Online Section Management); regularly interprets complex academic regulations, Graduate School of Arts and Sciences (GSAS) policies and funding regulations pertaining to fellowships and training grants; proactively maintains the content of the CBB handbook and serves as the website administrator for the program and liaison for the track website.
The CBB Registrar also supports the summer internship program; manages the Teaching Fellow process using the Teaching Fellow System (TFS); organizes the weekly CBB student Research-In-Progress (RIP) seminars and journal club meetings; coordinates the annual student interview, recruitment, and orientation events and activities in collaboration with faculty, student, and GSAS leaders; writes overview explaining funding requirements for each student annually and proactively contacts faculty advisors to advise them on their stipend and tuition responsibilities for based upon BBS guidelines, interfacing with a complex program-wide funding matrix; gathers, analyzes, calculates and enters student funding data from multiple training grants and other federal and non-federal funding sources into the Graduate Financial System (GSF) with an eye for the impact on grant reporting and tax implications.
Assists with Biomedical Informatics and Data Science training grant progress report and renewal processes providing data collection and analysis support; inclusive of controlling a budget, maintaining financial records and/or producing financial reports.
Completes appointments, reappointments, and terminations of students on the training grant through NIH website.
Organizes and compiles student progress summaries including courses taken, research summary, publications, conferences attended, and awards received.
Maintains faculty data in the Institutional Training Grant hub (Filemaker Pro) reviewing resulting tables for accuracy and current information.
Performs all duties with limited supervision and direction.
Performs other duties and special projects as assigned.

Establishes and maintains student files, ensuring all personal, financial, and academic records are kept current and accurate.

Monitors student records to ensure compliance to academic regulations and program requirements for graduation.
Maintains logs and records.
Compiles statistical data and information.
Summarizes data in reports or analyses.
7.
Updates, edits, and writes program publications.
Coordinates production and distribution of publications.
8.
Coordinates teaching schedules for academic classes.
Schedules classroom assignments.
Coordinates Senior Essay and Dissertation activities.
9.
Plans, administers, and controls budgets, maintains financial records, and produces financial reports.
10.
Oversees and instructs support staff.
Train, instruct, and provide guidance for regular, students, or temporary workers and others regarding procedures.

Required Education and Experience Two years of related work experience in the same job family and a Bachelor's degree in a related field; or an equivalent combination of experience and education.

Strong computer and analytical skills including the ability to work with complex databases and spreadsheets to manage student-related data gathered from multiple sources.
